Customer Service Specialist

The Role

The primary function of the position is to assist the internal sales team in all functions including the preparation of quotes, follow up quotes with wholesalers, sales order entry, supplier purchase order entry, customer and supplier enquiries, ETAs, collation of data sheets, project management and generating operational reporting. Secondary function is to assist management as requested.

Key Responsibilities
  • Processing quotes and general orders in a timely manner
  • Following up on pending orders and quotes
  • Distributing project quotes prior to closure of tender
  • Thorough and up-to-date knowledge of costs and prices
  • Maintain up to date files on supplier prices, materials, and subcontractor costs
  • Liaise with staff, suppliers, wholesalers, contracts, and specifiers
  • Promote a harmonious relationship between staff, suppliers, and clients
  • Study and understand tender documents and identifying special provisions
  • Tender pricing
  • Record client tender requests and quotes submitted
  • Create systems for review to improve the efficiency and accuracy of quotes
  • Document returns from customers and negotiate returns to suppliers for approval of Office Manager
  • Assist with general office duties and complete administration duties as required by the Office Manager
  • Assist to develop and improve work practices and processes
  • Provide input on how to improve the business or value add
  • Encourage peers and compliment work efforts where applicable
  • Work effectively with team to accomplish organisation goals
Skills and Experience
  • Knowledge in estimating project lighting
  • Knowledge of purchase and supply
  • Knowledge of project management
  • Have good communication skill and accurate numeracy skill
  • Punctual and reliable
  • Must be flexible with duties
  • Organise and prioritise tasks
  • Be able to work unsupervised and meet set deadlines
  • Ability to work under pressure, prioritise and multitask
  • Competent in using the Microsoft Office Suite
  • Experience and background within the lighting industry is not essential but favourable
