Client Services Manager

Careerlink People Solutions have partnered with OTFC Group to present a newly created opportunity for a driven, agile, and enthusiastic individual to play an integral role in facilitating and supporting the daily operations of one of South Australia’s most reputable and established private paediatric occupational therapy clinics.

The Role

We’re seeking a service-driven and proactive professional to provide comprehensive administrative and operational support to the team. This multifaceted role combines elements of client services, scheduling, administration, and reception duties to ensure all operations run smoothly while clients receive the highest level of service.

Key Responsibilities
  • Manage complex scheduling needs, including communicating with clients and Occupational Therapists (OTs) to roster on-going services and responding to service change requests

  • Welcome clients, as an ambassador for OTFC

  • Scheduling consultations, and providing support to ensure a positive client experience

  • Manage client onboarding, ensuring all documentation and agreements are executed in a timely manner

  • Support OTs to streamline service delivery

  • Assist with various projects and initiatives, providing administrative support and coordination as needed

Skills and Experience
  • Excellent interpersonal skills with the ability to connect and create a welcoming environment

  • Proven experience in an administrative support and client facing role

  • Exposure to scheduling operations, customer interaction, and reception duties

  • Strong organisational skills with the ability to manage multiple priorities and deadlines

  • Strong attention to detail

  • High level of discretion and professionalism in handling confidential information

  • Ability to work independently and as part of a team in a fast-paced environment

  • Experience with HubSpot is desirable, but not a necessity
